The State Board of Education is continually working to improve the enrollment reporting process and seeks to report private school enrollment as accurately as possible. Thank you for your diligent attention this year. Here are some tidbits:
- This year 538 schools submitted enrollment reports.
- A total of 81,959 K - 12th grade students are enrolled in private schools in Washington.
- An additional 12,437 preschool students are enrolled in private school early education programs.

We have received feedback about the enrollment collection process, and here are explanations to address the most common of your concerns:
- Entering school enrollment data into the online form is time consuming, and we appreciate that your time is limited and valuable. Several school administrators have suggested that it would be much easier to simply upload the Excel Enrollment Worksheet. We have looked into this option, and, unfortunately, it would not work with our process.
- Other administrators have asked that we use different or more categories to collect race and ethnicity information. In the future, this may be a possibility, but for now, the categories we use are specified in federal regulations per federal and state guidance.
Again, we very much appreciate your time and effort in this important work.
Participation in enrollment reporting is encouraged but not required for private school approval, although enrollment data may be used to verify information submitted during the approval process. Enrollment data is used to determine the amount of funds set aside for services for federal program participation.
Enrollment numbers are self-reported and are not verified by the State Board of Education.

The application opens Wednesday, March 1, 2023 – the due date is Friday, April 28, 2023.

The New Private School Application will be available March 1, 2023. Note that no login is required. Your new campus will be assigned a building code after approval.
Please do not use a New School Application for an existing approved school building/campus.
Renewing private schools will log in to submit a separate application for each campus or location using its unique building code as the password.

- Head of School email address submitted on the 2022 - 2023 application OR the current Head of School email address if your school information was updated before February 17, 2023
Password
Please save your login information, which will give you access to all State Board of Education processes.
Note that your login credentials for EDS Access and OSPI-required reporting will be different.
If the Head of School has changed since you submitted your previous year’s Private School Approval Application, please submit a Private School Change of Information Form before February 17, 2023.
If you miss the deadline, simply log in with your previous head of school email address and report any and all changes for the upcoming school year directly in the Approval Application. The Change of Information form is disabled during the Approval Application window.
Note that schools with name changes will log in to the Renewing Private School Application to indicate the new and previous names of the school.
Alerting the State Board of Education of changes at your school in a timely fashion ensures continuity of communication from state agencies. Your head of school email address functions as the username for all State Board of Education processes. Submitting a Change of Information Form does not automatically, electronically update your information in either the approval application or report forms. If you meet the deadline, you will be able to log into your approval application with your new head of school email address. If you miss the deadline, changes to your school information will be reflected in State Board files and in OSPI’s EDS system after the approval application process is completed.

If your school needs to temporarily close due to low or no enrollment, or if your new school has delayed opening, please notify the State Board of Education. When you are ready to reopen, you will use the Renewing Private School Application with your building code. If you need help finding your building code, instructions are available on our website.
Private schools that are permanently closing must complete a closure form. Please ensure that records from the closing private school are transferred to a reliable person or entity for storage and that students and parents/guardians understand how to request their records.
